Who we are

What we collect

The Email Helen link opens your own email application. You choose whether to send a message and what to include. Your email address, the subject and the information you write are included in the email we receive. The link does not send your message to a contact form or create a new enquiry record in our website database.

Our former website form collected a name, email address, subject and message, stored a copy in a managed website database and sent email notifications. Those older records are handled under the retention rules below. The website host and other services may also process technical information such as IP addresses or access logs when you visit the site.

Why we use your information

• To read your message, respond and follow up when needed.
• To keep a record of correspondence where reasonably needed to respond.
• To take steps you request about a purchase or accommodation enquiry.
• To protect our email service and website from spam and misuse.

We rely on our legitimate interests in answering enquiries and keeping our services secure (GDPR Article 6(1)(f)). Where you ask us to take steps towards a purchase or booking, we may rely on the steps-before-contract basis (Article 6(1)(b)). We do not use your enquiry to subscribe you to marketing, and this contact link does not make automated decisions about you.

Where the information goes

When you choose Email Helen, your message is sent from your own email provider to our business address, hello@cleoireland.com, handled through Google Workspace. Correspondence may also be forwarded to our working Gmail inbox. We no longer submit new messages through the site's former contact form or store them as new enquiry records in Lovable Cloud. We do not automatically acknowledge emails from this link. Previous form submissions may still be held in the managed database and in our email accounts until reviewed and deleted when eligible. We do not sell enquiry details or share them for advertising.

Some service providers or their subcontractors may process information outside the European Economic Area. Where international transfers take place, appropriate protections are required under data-protection law, such as an adequacy decision or approved contractual safeguards. Contact us if you would like details about the arrangements relevant to your enquiry.

How long we keep it

We keep ordinary resolved enquiries for up to 12 months after our last contact and review them every three months. Helen is responsible for reviewing older database records and the relevant email correspondence, and authorising deletion of eligible active copies.

We may retain records longer for an ongoing sale or booking, complaint, legal obligation or legal claim, and review these exceptions as needed. Deleted live database records can remain in Lovable's regional daily backup snapshots until they expire; Lovable does not publish the backup retention duration. Email-provider backups and logs may have their own retention arrangements.

Your rights

You can ask to access or correct your information, have it deleted, limit its use, object to processing based on legitimate interests or receive certain information in a portable format where that right applies. These rights can have exceptions. Email hello@cleoireland.com to make a request. We normally respond within one month and may need to verify your identity.

You also have the right to complain to Ireland's Data Protection Commission.

Other website services

Our Stay links lead to a Lodgify booking website. Bookings and payments made there are subject to the relevant booking-service information, rather than this enquiry-only notice.

The Visit section includes an embedded Google Map, which may receive technical information when it loads. The site also links to Instagram and obtains its Cormorant Garamond font from Google Fonts. Those providers have their own privacy information.
